A Christmas Project
Dec 24 -Jan 25
Case Study: Racing the Calendar
A week before Christmas, a major tertiary and community health system came to us with an urgent brief: a $15M philanthropic campaign to unlock government co-investment, with a leadership team that had deep expertise but no spare capacity. Traditional approaches would require weeks of funder research, strategy development, and 3–4 weeks per submission — plus extensive time from busy clinical and research experts. They suggested picking it up in the new year.
We began on 22 December and delivered on 5 January.
The Challenge
The institute's two senior leaders were simultaneously managing multiple strategic projects across their parent hospital and university. A traditional approach to five tailored philanthropic submissions wouldn't simply have been slow — it would have been impossible alongside their existing commitments. The strategic window demanded a fundamentally different model.
The Approach
The project began by ingesting the institute's core source materials — master narrative, context pack, and exemplar project documentation — through Belinda Collins' embedded philanthropy expertise. These were synthesised into a modular content architecture with five funder-type modules, enabling rapid customisation while maintaining narrative consistency. This knowledge asset became the foundation for all subsequent work.
Deliverables
1 comprehensive modular content architecture · 7 deep funder intelligence briefs · 1 strategic decision paper (28 sections) · 5 completed tailored philanthropic submissions - all able to be pivoted, updated as new insights and intelligence become available, and repurposed for future funders.
Results
The most significant metric is not time saved — it is that this project could not have been undertaken at all using traditional methods. The AI-enabled approach required just 22 hours of client time, focused entirely on strategic review and guidance, to produce five differentiated, funder-specific submissions targeting $15M in philanthropic capital.
Funder research: 95% reduction in client time · Submission drafting: 95% reduction in client time · Total timeline: 4 weeks vs 12+ weeks traditional · 85% overall time compression
The Impact
Senior leadership focused on relationship stewardship while AI handled research synthesis and drafting — technology amplifying human capability, not replacing it.
